Role

The Ward Secretary for the Paediatric & Day Ward provides comprehensive administrative and organisational support to ensure smooth ward operations. The role includes assisting nursing staff and doctors with administrative tasks, managing schedules, coordinating staff shifts, and maintaining accurate records. It also involves supporting patient admissions and billing processes, offering professional customer service to patients and families, managing stock and supplies, and coordinating technical or maintenance issues. The Ward Secretary helps ensure safety and compliance documentation is up to date while contributing to an efficient, patient-centred environment within the hospital.

Responsibilities

Administrative Support:

  • Assist nursing personnel and doctors with queries, correspondence, and administrative tasks. Manage schedules for meetings, training sessions, and equipment servicing.
  • Type and distribute minutes, memos, and updated policies.
  • Maintain staff personal files and handle monthly updates for resignations, new hires, and staff records.

 

Staff and Shift Management:

  • Support the Unit Manager with staff shift planning, off-duty rosters, and shift change requests.
  • Coordinate staff uniform fittings and meal ticket arrangements.


Patient & Billing Support:

  • Assist with patient admissions, bed allocations, and accurate daily patient chart billing and stock control.
  •  Ensure patient statistics and billing documentation are completed and submitted on time.


Customer Care & Family Engagement:

  • Provide professional, compassionate customer service to patients and visitors.
  • Offer support and assistance to patients’ families by addressing general inquiries, guiding them within the facility, and helping them feel welcome and informed, without providing specific medical or patient care information.

 

Stock & Supplies Management:

  • Oversee stationery orders and refreshment stock.
  • Maintain accurate filing and documentation for patient care procedures and administrative records.

 

Technical and Maintenance Coordination:

  • Report and follow up on technical and maintenance issues in the ward environment.
  • Track repairs and coordinate updates with the technical and maintenance teams.

 

Safety & Compliance Management:

  • Assist with safety documentation and compliance processes within the ward.
  • Support the organization of health and safety meetings, including typing and distributing meeting minutes.

 

 

 

Education

Grade 12 qualification.


Experience and Requirements

  • Proficiency in Microsoft Word.
  • Experience in a private hospital is a necessity.
