Role

Zuid-Afrikaans Hospital has an exciting opportunity for a suitably experienced and motivated individual to join our team in the position of Admission Manager.

 

The successful candidate will be responsible for managing and overseeing the hospital's admission functions, ensuring accurate, efficient and patient-centred admission processes. The position requires a strong operational leader with sound knowledge of hospital admissions, medical aid authorisations and funder requirements. 

Responsibilities

  • Manage and oversee the hospital's admission function, ensuring that all patient admissions are processed accurately, efficiently and in accordance with hospital policies and funder requirements.
  • Provide operational leadership and supervision to the Admissions, Bed Bookings and Reception Porter teams, ensuring effective workflow, appropriate staffing and a consistently high standard of service delivery.
  • Monitor the accuracy and completeness of patient admission documentation, medical aid authorisations and supporting information, and conduct regular audits to identify and address errors or recurring trends.
  • Manage and follow up on pending, incomplete or declined medical aid authorisations and liaise with funders, doctors' rooms and relevant hospital departments to resolve admission-related challenges.
  • Oversee private, international and non-DSP admissions, including the preparation of hospital quotations, cost estimates and the monitoring of applicable co-payments and procedural payments.
  • Coordinate and monitor prosthesis quotations and benefit limits with relevant providers and funders prior to procedures.
  • Work closely with Case Management, Debtors and clinical departments to resolve admission, documentation and billing-related queries and ensure accurate patient and funder information.
  • Monitor admission-related reports, statistics and departmental records, identify areas of concern and provide regular feedback to Management and relevant departments.
  • Ensure the effective preparation of upcoming admission files and that all required authorisations and supporting documentation are in place prior to admission.
  • Manage staff rosters, attendance and leave, and ensure appropriate allocation of departmental resources to meet operational requirements.
  • Oversee the effective deployment of Reception Porters and ensure appropriate control of porter movements and departmental equipment.
  • Promote a professional, patient-centred and service-driven environment and address operational or service delivery concerns promptly and effectively.
  • Log, monitor and follow up on Trimed system issues and other operational system or connectivity problems with the relevant support providers.
  • Support the training, onboarding and ongoing development of employees within the department and ensure that staff remain informed of relevant changes to medical aid rules and admission requirements.
  • Attend relevant meetings and contribute to initiatives aimed at improving admission accuracy, departmental efficiency and the overall patient experience.
  • Reporting downtime on telephone lines and IT issues communication.

Education

  • Grade 12 / Matric.
  • Relevant qualification in Administration, Healthcare Administration or a related field will be advantageous. 

Experience and Requirements

  • Previous experience in a hospital admissions or healthcare administration environment is essential.
  • Previous supervisory or management experience is essential.
  • Sound knowledge of medical aid authorisations, funder rules and hospital admission processes.
  • Knowledge of hospital billing and patient administration systems.
  • Computer literacy and proficiency in Microsoft Office.
  • Knowledge of Trimed will be advantageous.
